Welcome Graduate Assistants and Fellows!
For those of you with financial awards, this memorandum will serve as a helpful reference guide during the entire academic year. The first order of business is that your appointment begins on August 5, 2007. The information and paperwork discussed below applies to Graduate Assistants and International Fellows . If you are a U.S. Citizen with only a Fellowship and no additional Graduate Assistantship the information discussed below does not apply.
I know this is a lot of information to digest, but all of it is necessary. Feel free to stop in anytime between July 31 and August 4 to complete these tasks. You may address any questions to me prior to your arrival at tazelaar@umd.edu .

Important Forms and Documents
TAX DOCUMENTS
Domestic or International GAs/Fellows, should visit www.uhr.umd.edu , ‘New Employees', ‘New Employees Checklist' and complete all the forms under ‘Payroll'. If you live in the District of Columbia , please use the attached W-4. The Citizenship Status forms are only for international students along with the 8233 form for international GAs and W8BEN for international fellows or GA/Fellows. U.S. Citizens, only need complete the I-9, W-4 and Direct Deposit forms. Originals with signatures must be submitted in person – faxes or electronically submitted forms will not be accepted. All forms should be filled out in BLACK INK ONLY. Students may arrive on a walk-in basis with completed forms between July 30 through August 3. Bring a driver's license and social security card, or a passport for proper processing of payment.
SECOND YEAR STUDENTS
You may mail originally signed forms to the address below (unless you are an international student). Please process the electronic Tuition Remission form. If you have received a fellowship, you may address any questions prior to your arrival at tazelaar@umd.edu .
TIMESHEETS
Attached is a blank timesheet for all Graduate Assistants to record hours. Begin to submit on Friday prior to the date in red through December, as follows: 08/05- 08/18 , 08/19- 09/01 , 09/02- 09/15 , 09/16- 09/29 , 09/30- 10/13 , 10/14- 10/27 , 10/28- 11/10 , 11/11- 11/24 , 11/25- 12/08 , 12/09- 12/22 , 12/23- 1/05 . If you have a full assistantship, you are expected to work 20 hours per week for a total of 300 hours during the semester, and with a half assistantship, 10 hours per week for a total of 150 hours per semester. Your acceptance letter identifies your award and Executive Dean, Bill Powers will provide your assignment.
BENEFITS
Graduate Assistants may also enroll in our benefits programs but will pay a bi-weekly premium. For rates and plans information, visit www.dbm.maryland.gov , ‘State Employees', ‘Health Benefits', and ‘2007– 2008 Benefits Booklet' to view the plans and rates we have to offer (on the last few pages). Then go back a page and click on “Active/Satellite Account Employees Enrollment Worksheet for 2007-2008”. This is the form you will complete and submit to me. If you have all of your paperwork in to me by August 3, your benefits will activate by the end of August. There is no way to activate benefits any sooner, and it normally takes 2 pay periods after your paperwork is received by the State
TUITION REMISSION
This may only be done after all paperwork is received and in the system. Go to www.uhr.umd.edu , ‘New Employees', ‘New Employees Checklist”, and scroll to ‘Human Resources' and click on ‘Tuition Remission Benefits and Guidelines'. The “addressee” will be my first and last name. If you have received a fellowship, you may address any questions prior to your arrival at tazelaar@umd.edu . It normally takes 24 – 48 hours before the tuition credits are applied to your student account as well as converting out-of-state students to in-state residency for those with a GA award. You may view your student account through Testudo.
